The Office Fit-Out Process Explained, Step by Step
A fit-out feels opaque from the client side — you sign off a design, and then for weeks there is dust and noise until one day the office is finished. Knowing the actual stages takes the mystery out of it, tells you where your decisions matter, and lets you hold the programme to a date. This guide walks through an office fit-out in Accra exactly as we run it, from first survey to handover.
Stage 1 — Scope and Survey
Before any number is committed, we survey the space and agree what the fit-out actually involves. We measure, check the existing services, look at what the landlord delivered (the Cat A baseline), and work through your brief — the room mix, the finish level, whether you need acoustic or fire-rated work, and your opening date.
This stage exists to remove guesswork. A scope agreed before pricing is what makes the eventual cost and programme real rather than a moving target.
Stage 2 — Bill of Quantities and Programme
A quantity surveyor prepares a Bill of Quantities measured against the agreed scope — every partition, every metre of cable, every ceiling tile and floor finish, priced against current rates. Material prices in Ghana move (cement, for example, runs roughly GH₵85–130 a bag; finishes and systems are priced by specification), which is exactly why a measured BoQ beats any remembered or per-square-metre figure.
Alongside the BoQ, we set the programme — a sequenced timeline that works backward from your opening date. You commit on a measured cost and a real schedule, not a guess. Stage 3 — Design Coordination and Approvals
The design is coordinated across the trades before anyone builds. Where the work needs a building permit, or EPA permitting (L.I. 1652) for a larger project, it is handled at this stage. The installation is planned to Ghana’s building regulations — the National Building Regulations 1996 (L.I. 1630) and the Ghana Building Code (GS 1207:2018) — and registered engineering (GhIE) and quantity-surveying (GhIS) input is brought in where the project requires it.
The most important work here is invisible: coordinating the MEP with the finishes so the trades do not clash on site. Decisions you make at this stage are cheap; the same decisions made after the partitions are up are expensive.
Stage 4 — Installation and Coordination
This is the stage you see. Trades are sequenced so they do not clash:
- First fix — partitions framed, services run, cabling pulled before anything closes up.
- MEP rough-in — power, data, lighting, and air-conditioning routed to the layout.
- Ceilings and finishes — only once the services above them are in and checked.
- Second fix — fittings, joinery, doors, and final electrical and data.
- Decoration and flooring — the finishes that must go in clean and late.
The sequence is the craft. Running it in the wrong order is how dates slip and work gets torn out and redone. Much of our work is also in occupied buildings, where we phase around your operation and work out of hours where the use demands it.
Stage 5 — Snag, Commission, and Handover
Before you take the space, we snag — walk the job and fix the defects — and commission the services so the air-conditioning, power, data, and any specialist equipment actually work. Handover includes the documentation: as-installed information, warranties, and what your facilities team needs on day one.
You receive a finished, working space — ready to occupy or open — not a space that merely looks finished.
Stage 6 — Warranty
We stand behind the installation with a written workmanship warranty. That is the accountability that separates a firm that finishes the job from one that disappears at handover.
